What was built
Built this after embarrassing myself in a partnership call where the other person had clearly done their homework on us and I had done almost none on them. They referenced a specific thing we had published three weeks earlier. I had no idea they had read it. The dynamic was immediately off. The workflow triggers automatically from Google Calendar. Any meeting added to the calendar with two or more external attendees fires the workflow 60 minutes before the start time. Here is what runs in that window: Step 1 — Attendee identification The workflow pulls the attendee list from the calendar event and sends each name plus company to Perplexity for research. The search is structured to find their current role and company, any recent posts, articles or interviews they have published or been featured in, their company's current news or announcements from the last 30 days, and any mutual connections or shared context that is publicly available. Step 2 — Individual profile generation via Claude For each attendee Claude generates a structured profile containing five things. Their current professional focus based on recent public activity — not their job title, what they are actually working on right now. Their apparent communication style based on how they write or speak publicly — are they data driven, storytelling led, direct or collaborative. One recent thing they said or did that is worth referencing naturally in conversation. A one line summary of what they likely care most about in the context of this specific meeting. Any potential tension points or sensitivities based on their background relative to what you are trying to achieve in the meeting. Step 3 — Meeting brief generation Claude combines all the individual profiles and the meeting objective into a single pre-meeting brief structured like this — a one paragraph context summary of who is in the room and why, three suggested opening questions tailored to the specific people attending, two to three talking points likely to land well based on the attendee profiles, one potential objection or concern to anticipate and how to address it, and a suggested close — what you want to have agreed or decided by the end of the meeting. Step 4 — Delivery The brief gets sent to Slack as a direct message 45 minutes before the meeting starts. Clean, structured, readable on your phone while walking to the call or opening your laptop. What this changed in practice: Started using this 8 weeks ago. The most obvious change is that I now reference something specific about the other person in the first 3 minutes of almost every call without it feeling forced because it is actually relevant to the meeting. The rapport building happens naturally rather than through small talk. The less obvious change is the anticipated objection section. Having that surfaced before the call means I have already thought through my response rather than reacting in the moment which changes the quality of the conversation significantly. What broke during development: The Perplexity research occasionally returns nothing useful for less publicly active people. Fixed this by adding a fallback that searches for the company rather than the individual when the individual search returns fewer than three usable data points, and flags the brief as limited-research so I know to adjust expectations. The 60 minute trigger was too close when the research takes longer than expected for attendee-heavy meetings. Moved the trigger to 90 minutes to give the workflow enough buffer. What I would build next: A post-meeting follow up generator that takes my rough notes immediately after a call and drafts a follow up email with action items, key agreements and next steps — triggered by me sending a voice memo to a specific Slack channel within 30 minutes of the meeting ending.
